Restricting View of Confidential processes
Hi everyone, we have some security/audit processes that need to be hidden from view of our general staff. Can anyone help me understand how to restrict view access to these processes, but allow certain business units (Internal Audit and Security) to view them?
Wait time vs Total time
In Promapp, Edit > Timeframes section, we see the options for "Active time" and "Total time".Active time = The time is taken to complete the activity.Total time = The total time from the current activity starting to when the next activity starts. In Promapp Help Centre documentation, it is mentioned as "Wait time" (on the upper-right corner of your screen, Help > Help Centre > Process Timeframes). Is wait time = total time? If not, what is the difference? We don't see the option for wait time in the UI.Also, when you add active time, is it necessary to add the total time as well? Should the Help Centre documentation be updated? Please refer to the attached screenshots for your reference.
Process Owner and Expert
Hello readersI am wondering why, when I undertook some Promapp training this morning with some staff, the drop down list was empty when you choose 'Processes', and 'Processes I own'.One particular staff member was the expert of a process (which is published), and this did not show for him.Has anyone else come across this? Did you find a resolution? Thank youHStan
Aren't Document uploaders automatically an Owner of the document?
I can't tell if this is expected behavior or not in Promapp Documents. One of my users had uploaded documents. But when they go to delete them, they are unable to. I would have thought that the original uploader would be an owner on the document and have the right to archive/delete. Am I mistaken?
Process variations governance
My organisation is large and a government shared service with complex processes and multiple systems. We are reviewing our governance charter and believe we need some simple rules for when process variations are used for a process. Has anyone developed a decision matrix or variation matrix to do this? We want to make it consistent in how it is used across the organisation while also making it easy for writers to evaluate how to best use the variation option. Example: Fill a vacancy The vacancy is for: (inputs are different and variations in what is done) - Doctor - Nurse - Manager - Admin Types of employment: (inputs are different and variations in what is done) - Permanent - Agency - Contract - Acting - from within org Systems (both being superseded by HR System C in the next 5 years) - HR System A (DOS based) - HR System B (easier, less steps, to use because newer)
Issue - A new UNASSIGNED swimlane is added in minimode link of the published process and is blank.
I have recently published a number of processes. All the published processes are of version 1.0. Published the processes on 3rd/4th November. There is no "UNASSIGNED" swimlane in any of the processes. When I open a minimode link of the same process and of the same version (1.0), in the minimode process, a new "UNASSIGNED" blank swimlane is being added. This is an extra swimlane that is not there in the original process. Has anyone experienced this issue?
Adding a new line to task
Hi all, I feel like I've awoken to an alternate reality. I have ALWAYS used Control+Enter keys to create a new line of text in my task.Lately that's not working at all...all it gives me is a new task.I have a new laptop, so I'm not discounting that, but thought I'd check in here. is it me? I have checked the how to's and tech help. found this: https://community.nintex.com/t5/How-To/Creating-text-on-a-new-line-in-a-Nintex-Promapp-Task-or-Note/ta-p/121193, which tells me I'm not crazy.Anyone else had this issue and has a fix?
Images requiring review in dashboard
Is there any way to stop images from requiring review? Currently, the My Reviews tab in the Dashboard shows images that are Overdue or coming up for review alongside processes and documents.I'm hoping there's a way to stop images from appearing in here as I don't need to review images. Any images linked to a process will be reviewed when the process comes up for review. Thanks
Exporting Promapp Process/Procedures for deploying on a Intranet/Internet page
I am a new user. I need to export Promapps containing process charts, detailed procedure steps, links to screenshots and external reference materials (pdf). What export formats are available that can be uploaded and used on web applications? All assistance will be appreciated. Thanks
Promapp Risk Add-on - Possible to customize Risk Form?
I have yet to find any configuration or basic discussion on this topic. We have the Improvements / Incident reporting add-on. Looking for similar capabilities for the RISK add-on, allowing us to create additional fields required by our Risk team. Doesn't appear this is possible from my research and review of Risk configurations as a Promaster. Thanks much!
Responding to Feedback from The Map view
Hello - I recall having the ability to display my process from the Map view and in the Change Log read Feedback and having a button available to me to respond from the Log. This was really great and effective capability - has this been deprecated? I cannot do this anymore? Did have something to do with the Feedback changes recently? Thanks Srinee
Printing of Process Groups
There is a limitation of 100 processes to a process group when printing. This is causing large issues for our company, as we are asked to provide 'manuals' to our clients. To satisfy this we need to be able to provide a complete process group (eg. for Health and Safety.... essentially this is our 'electronic Health and Safety Manual' for the business). But as we have 107 processes, Promapp will not produce a PDF. This has been raised previously and I am raising again as the limitation is once again causing problems for us in providing evidence to one of our clients. Please raise this limit.
How to map actions performed prior to conditional transfer to another process.
Hi.What is the recommended way to map the following common scenario. In the course of performing a process, a condition is identified that requires a transfer to another process, but some action(s) need to be performed first. For example an assessor is processing an application but realises it should be handled by a different department following a different process. Before handing it over, the assessor needs to assign the case to the new department in the system and notify the customer. One way to do this is with a decision that links to an activity with relevant tasks. A link to the other process can be specified in the outputs. However, this doesn't show the linked process on the map and there appears to be no way to identify what outputs are produced at this exit point from the process rather than others. Alternatively a decision point that links directly to the other process could be used, but there appears to be no way to record the actions that need to be performed prior to t
Creating an Integrated Management System with Promapp
Hello Brain Trust!I'm wondering if anyone of you good people have experience in developing an Integrated Management System (to consolidate safety, risk and environment management systems, for example) with Promapp as the visual "front-end"? I am currently researching a user-friendly interface to present a massive collection of Policies, Procedures, Work Instructions, User Guides, Forms etc. and would be grateful for any tips or other support in figuring out how Promapp can be made the principal platform for the internal and (partly) external provision of such documentation.CheersChristoph
Hi, I have a new process that was submitted for approval - one approver edited and the other approver just wants to see the changes. I know I need to be in the procedure view of the process- but I still can't see the highlight changes button? Is this only available after the process has been approved at least once? CheersKaren
Ideas/Techniques/Platforms you use to continuously engage your Process Experts
Hi all, I will give some context in how we use Promapp as this is important since every organisation deploys Promapp differently. Our approach with Promapp has been to build process mapping capabilities within the business areas (internal) we engage with so we go through a series of workshops to identify their processes and the process experts for each process. We then spend time to provide process mapping and Promapp training to those Process Experts so as you can imagine, for a large organisation (5000+ employees) this is a long and slow journey. We are 1+ year into using Promapp and have expanded quite substantially so now we are coming across the phase where we would like to start putting some focus on engaging those that are trained and are using Promapp within their areas within their 'business as usual' way of working. I would like to hear from the community if you have any ideas, techniques or platforms that you use to aid this engagement with your process mappers (i.e. Process
Tips on how to embed legislative links to summary or background sections?
Hi all, I need to embed relevant legal or regulatory links that govern either the entire process, or a group. Are there any tips on how to embed legislative links to the group summary area or the process background sections? I know adding a weblink is easy within the actual process, but we are looking for a better way to manage this, not just for specific activities.
