Hi,The information in the help section, vs the how-to centre vs what I have experienced with minimode links is conflicting. Nintex Help Says:Minimode links update every time a process is published. That means a link to an unpublished process will show the current version until the process is published. When sharing a "0.xx" version process, the process version gets updated to 1.1 version, and that same minimode link shows the newer version.Links generated for published processes behave the same way, but allow users to switch between the last published version and the current in-progress process. In either case, once the process is published (or published again) a new minimode link will be needed to view the current state of the process. For more information, see Minimode configuration. The How-to Centre Says:How do Nintex Promapp minimode links for published, unpublished, and in-progress processes work?Minimode links have different behavior depending on their publishing status:Unpublish
Hi all.I’m wondering if there’s a way I can deny the archival request of a promapp process?Essentially one of the processes I’m reviewing is ‘awaiting archive approval’, and I can only see the option to approve it. Is there a way I can deny it? Or do I have to first approve it, and then reinstate it after it’s been archived?Hope that makes sense, thanks in advance!
Kia ora everyone, We have been using Promapp for approx. 2.5 years now and are undergoing a review of our phased roll-out of Nintex Promapp - how can we do better, what are we doing well, what education do we need to undertake. We employ over 400 staff and one of the key objectives of our review is better communication at all levels of the organisation regarding the use and roles/responsibilities of Promapp. Has anyone undertaken a review of their system or implementation strategy that could share some of the wins or losses you experienced while doing this? Does anyone have any tips for communicating at different levels of the organisation (eg. Level 2, 3 & 4 Managers)? Kind regards, Sherrianne Nation Waimakariri District Council
This may be a recent issue, but I wanted to see if anyone else noticed it? I’m familiar now that the processes that land in the Dashboard: Processes for Publishing are ones that have an error in them that requires a Promaster to check. For example, the editors may have submitted for approval a process that has links to an archived process. That would be an error and it has been up to us Promasters to help the editors resolve the error. Recently, I noticed a process that had such an error (output link to an archived process), both editors had approved, and it didn’t land in the Processes for Publishing queue, but rather stayed in the Processes for Approval queue with just a Publish Now button. Curious if anyone else noticed this behavior within the Promaster’s view of the My Dashboard?

We have over 700 documents that are not linked to a process map. They may be old documents that are no longer used and there is concern that staff maybe accessing documents via Process Manager. Does anybody else regularly audit their documents and archive those that are linked to a process map?
Hello everyone,Is it possible to link documents to PM from a DMS in bulk? Or do I need to do this one by one?I’m on a mission to link all documents from our DMS to PM and although it is a fairly rapid task (with just 1 document at the time), I was wondering whether there is a way to speed up this process by using a ‘linking in bulk’ type of feature, if available. Thanks,Carlos
Why does the current version number not show on the PDF version to print. Example: How it appears in Process Manager: How it appears in the PDF to print:Why doesn’t print as the current not historical version?
I noted this idea has only 1 vote , a number of our users have indicated it would be useful to have options where Process Owners and Experts can indicate a status for feedback responses as at the moment there is a reliance on reading each acknowledgement . HI everyone, I’m wondering if anyone else is finding issues with their Search Engine - I’ve put through a job recently (over a month ago) as our Search Engines are not picking up individual processes. But the fixes are not working. Nintex are working on this for us, but I’m curious to know if this is an issue others are experiencing or just us?
Hi,I'm hoping someone can help. I'm not a SharePoint guru but I can follow instructions 😂I've followed the steps listed in the help link below down to step 3, but when I test the query, I didn't get any results, (I've waited a couple of hours in case there was some kind of sync issue, but that didn't help) so I didn't continue to create a dedicated search results page etc. https://help.nintex.com/en-US/promapp/Admin/SharePoint/SharePointOnlineSearch.htmDoes anybody have any tips?ThanksTania
Hello everyone,I’ve created a ‘Documents only Group’ and until just yesterday, Process Manager allowed me to ‘link’ documents from my DMS to this group. This is, the ‘documents only group’ (DOG) I’m referring to was part of the list of groups displayed and to choose from when clicking on ‘add/link document’.However, after the recent “modernisation of the documents area’ (and I’m not saying this is the reason - it might be a coincidence), I can’t see the ‘DOG’ anymore when trying to execute the operation above described. It seems like DOGs are not shown due to their condition? i.e. groups created to store documents only.If that is the case, the question is: How do I add documents to this group from now on?I tried by “associating documents to an additional document group in bulk”, which is a feature offered by PM. This works but the document needs to be in PM in the first place i.e. I have to link it from our DMS to another existing group and then ‘associate it’ to the DOG via this optio
General House Keeping Question:Does anyone Delete old employees from Process Manager or do you leave them as Disabled forever? We have 1336 disabled users, and a current user list of 1320.My general rule now for when someone leaves is to delete all their roles and transfer all their processes (if possible) - but there’s a whole lot of history in here to clean up.Thanks
Hello everyone,Just wondering whether any of you have had to deal with this task before? The business I work for is considering linking all controlled documents currently sitting in our DMS to Process Manager and I’ve been asked to present a case so we can assess whether the exercise is worthy. If you have dealt with this before, do you mind sharing at least 1 pro/con and any implication I need to consider? Thanks,Carlos
Are there step-by-step instructions or a how to video to download and use the Process Manager templates in the Nintex Gallery that I can share with users?
Good afternoon! I was hoping to identify a user group of Credit Union, FI/Bank BPM team members who may be able to share some trials, tribulations and use cases. Are you using APQC as a framework or any other frameworks? How do your groups look?Do you still use the numbering system and the nomenclature provided by APQC?If you are an APQC member, what sort of value have you gotten from that relationship? How do your end users correlate their process groups with their business units for areas like 4 & 5? Do you use Nintex as a Knowledge Base/Asset Repository or some other Document Management System/Knowledge Management System? Is anyone using Sharepoint and are you matching the structure of APQC in your folders or Doc Libraries there? One spot for everything or do departments/business units get to have their own site where their relevant documents/artifacts are kept? How do you handle governance in these situations? Is anyone incorporating change management into their BPM work? What
There is an Idea in the “Planned” or consideration bucket but it only has 3 votes. This is a huge opportunity to streamline administrative activities on tenants using Microsoft Entra ID Sync functionality. Current day it will only bring users over with their name and email but it does not sync roles. Some organizations have a lot of department name and role name changes and it is exhausting to track all of these changes and go in and have to manually adjust a user who automatically came over in a “Sync” The more votes we can get on this the sooner it will be added to the roadmap and potentially moved up in line for discovery and development consideration. This will be a huge time saver for administrators and is normal functionality with other Entra ID integrations. Help out the community by going in and voting this one up to the top please! it will just take a few moments. Thank you and make it a great day!
Hi everyone, Is anyone using the APQC Process Classification Framework as the set up in Process Manager? Please share any insight on whether it has worked or not worked in your organisation.Thank youAndrea
Hi All,Weve been running promapp now for 7 years and were looking to do a relaunch to re-engage the organisation. Just wondering if anyone has undertaken something like this and has a bit of a strategy they’ve used?CheersAnthony KumnickNorthern Grampians Shire Council
Hi there, we are doing an upload of bulk processes and when publishing them we are sometimes getting the following message:Both of these roles existI have removed them and reentered them but we are still getting the same message.Does anyone know why this happens?ThanksErin
I have a number of colleagues who use dark mode to view online content. The map diagrams don’t appear in dark mode, in fact the contrast between the font and background is reduced when viewing them in dark mode. When selecting the activities the pop-ups with tasks appear fine though. Does anyone know if there’s a way to view the maps in dark mode?
I have created a lot of processes and tried linking them together. The linked expansion icon is not showing up in the linked processes for all new linked processes except those created approximately 3 months ago. All config settings are set to display for all users. Further investigations have shown that the promaster user didn’t have a role attached to their user account but even when this was rectified the issue remains. We’ve since tested and discovered that the Linked Process Expanding icon now shows when the process has been approved. It’s most useful though for the approver to see the linked processes during the approval process.
In Admin > Configure > Viewing Options, although the “Enable process merge for normal users" is OFF, users (in both Minimode & user) are still able to select the icon on lower right to expand the process into the current map. Is there a reason why turning this to OFF seems to have no effect? And, if we wanted to turn this merge feature off, is there another way to do it?Thank you in advance for your inputs!
Hi community,Since the Process Attributes were moved from the bottom of the screen to a button in the top right, the Systems now shows a count of every time a system is used, instead of a summary list of all systems used. Eg. my process uses 5 systems in total, but the Process Attributes > Systems shows 35 which now represents the total amount of times any system is used. Is this a bug? Where do I go now to show the summary of systems for the process, and to highlight which activities use which systems?Thank you
HI, does anyone know why a process would not show up in the search results even though:I’m the Promaster The process is published It is showing under the process group in All Processes and Group Management. Thanks
