Companies constantly seek ways to enhance efficiency and productivity in today's fast-paced business environment. One area that has seen significant innovation is document creation, eSignature capture, and tracking the signing process within a system. This modern approach saves time and resources and improves accuracy and compliance. Let's delve into how companies embrace these technologies to streamline their operations. Efficient Document CreationGone are manual document creation days involving extensive back-and-forth emails, revisions, and delays. Nintex DocGen for Salesforce offers a modern interface within Salesforce, allowing power users to query, configure, and deploy solutions, ultimately enabling end users to generate professional-looking documents quickly. Features such as point-and-click data querying, drag-and-drop tagging, and version control allow teams to work seamlessly together regardless of physical location.Furthermore, integration with Salesforce ensures that docum

Did you know that Drawloop DocGen can store all of your legal and non-legal content in it’s app and push the content into your templates at runtime with hide-display rules applied? This could generate a single line or several pages of text completely bulleted and indented to your specifications. The capability has been available for while now, but few customers know about it. This capability provides Drawloop users the ability to centralize content (clauses) so that they can be managed within the Drawloop app instead of templates themselves. Why would anyone do this? So admins don’t need to manage several template files that contain the same clause whenever the clause itself changes. Instead, a change can be made to a single clause in the Drawloop app and then it instantaneously becomes live across all templates that leverage the clause. Did I mention you can apply filters to each clause? Often, Drawloop users will create many file versions of one use case. And multiple templates for o

Hello everyone!I am writing today about a use case that has come up a few times recently and how Nintex can help solve it.At a high level, the use case involves a pricing estimation calculator and the front end, resulting in a proposal or estimate document created and sent to a customer. The specific scenarios I've been working with have involved field service workers; however, this is not limited to that audience.Without Nintex, this would involve a lot of pen and paper, quick napkin math, and complex Excel sheets. Alternatively, the companies I've been working with involve their estimation experts, and their turnaround time is much longer than their customers are willing to wait. With Nintex Automation Cloud, any field service worker can fill out some simple fields and get a quick estimate from the customer while they are still on site.As I mentioned, the ideas presented here can also be applied in other types of use cases. Nintex Automation Cloud allows for extreme flexibility in wh

In this month’s user spotlight blog, we’re talking to Jason Roberts (JRoberts), a Solutions Engineer at Nintex.Jason RobertsWhat is your current role, how long have you worked at Nintex, and your career background?I guess I’ve been in the tech industry for over twenty-five years if you count interning back during my college years. I’ve worn a few hats from that time like support, admin, and developer. I’ve worked in the financial, manufacturing, and software industries. I am a Solutions Engineer on our pre-sales team for the AMER region. I have been with Nintex for over ten years, having come in from the K2 acquisition a couple of years ago. Previously to this role, I was a content and training creator for our Enablement team.  Originally, I came into K2 after being a customer and had worked with the K2 platform for about three years up to that point. Which Nintex Product are you most passionate about and why?I’m probably a little biased, having had such a long background with the Nint

One of the most requested capabilities for Nintex Workflow Cloud has been the ability to assign a single task to multiple individuals, so a task can be completed by one of many or by collaborative decision-making. We will be making a number of updates to Task capabilities in Nintex Workflow Cloud over the coming months, starting with a new action in the workflow designer: Assign a task to multiple users. To see it in action, check out Chris Ellis' (Director of PreSales) awesome video. The action:With Assign a task to multiple users, you will be able to assign a task to multiple assignees and set the Completion rules. You still be able to look up assignees from your User Directory or your tenant's User Management, or use a collection variable of email addresses. For now, up to 10 assignees will be sent their tasks all at once.  The Task list:The Task management page in Automate has been updated to provide an view of a task's overall status. You'll be able to see who has responded, which ta

A Common use case for an automated process containing a document being generated is needing a proofreading step where a user can verify the dynamic data going into the document before delivery. Pause to Edit and Forms are just two great examples & features to accomplish this. Let's talk about using forms first. I typically always bring up this path first on any discussion I have. The Reason? Most of the time this ‘proofreading’ step doesn’t need to give the user access to the entire document. Typically they are just checking the dynamic text coming in or maybe just changing a single paragraph. In this case a form is much faster for the end user.  A user can simply check the data here and make any adjustments instead of downloading the entire document. The other plus here is that you can map the data back to a system of record because all the values in the form can be variables. This way of thinking is also great when you incorporate NintexSign into the use case. Using secure fields

In many industries, paper-based processes can hinder operational efficiencies and increase risk of lost or inaccurate data. Equipment inspections in the Oil & Gas industry are no exception. One company used hyperautomation—the use of multiple automation tools across a business process to achieve end-to-end efficiencies—to digitize their equipment inspection process, and do so with systems located both inside and outside the firewall.  The Challenge Many companies have data warehouses where digital assets such as documents, reports, and imagery are stored.  For security measures, some companies deploy such data warehouses behind strict firewalls with no connection to any other application beyond their firewall.  This creates a challenge for companies that are trying to automate manual processes involving people and systems both inside and outside the firewall, yet are obligated to comply with strict security policies.   An Oil & Gas industry provider had a manual process in plac

In the dynamic landscape of the insurance industry, automation separates the leaders from the rest of the pack. This blog delves into a real-life use case where automation digitally transforms the insurance policy management process, leading to increased efficiencies and elevated customer satisfaction. The Challenge:  Traditional insurance policy processes often involve manual tasks, lengthy paperwork, and a high probability of errors. These challenges impede operational efficiency and hinder the overall customer experience. The Solution: Policy AutomationEnter policy automation, which can help insurance companies streamline operations and enhance customer service. This blog tells the story of an insurance broker who successfully embraced automation to ensure accurate, efficient, and compliant data entry into third party carrier websites when customers request updates to their policies. How One Insurance Broker Optimized Policy Modification with Automation:  A Nintex partner, BankRPA,

A common question with K2’s integration with SharePoint is how can we reduce the scope of permissions? By default, the permissions required in SharePoint allow K2 workflows and forms to do all the things: create sites, update permissions, create lists/libraries/items, and help you automate your SharePoint administration. While we believe that every site could benefit from K2’s integration, we know that some organizations want to control access to K2 and limit scope. Newly added to the documentation by our amazing Technical Content team, this article helps you do just that. https://help.nintex.com/en-US/nintexautomation/icg/5.7/Content/Configure/SelectedScopeSetup.htm. By creating your own application, you can reduce the site scopes to only those site collections you want to use with K2. Give it a whirl if you need more granular control over which site collections integrate with K2!

IntroductionIn this blog I am going to show you how to take data submitted from a form in Nintex Workflow Cloud and save it into a table in Excel. Inserting Form Data into an Excel TableWith a recent update in Nintex Workflow Cloud, we now have an out of the box action for Microsoft Excel to Insert Table Data.   Creating the Excel Table to store the data inThe first thing we will need it to create an excel workbook with the table where we want to store the data, we collect in the Nintex form. In this case I just created a simple table called NWCTest and 7 columns for the data we are going to be collecting from the form.  You will want to make sure you have your excel sheet and table created before you begin setup in Nintex Workflow Cloud.  The excel sheet will also have to be stored in Microsoft OneDrive as well, as this is where the workflow action will connect and look for the file.  Creating the form and connection in Nintex Workflow CloudNow we need to create our form and workflow,

Earlier this month, Google started tracking a new issue in which source URLs for files in Google Drive aren’t working when they’re embedded, such as in Nintex Forms, emails, and web pages. This issue can impact any Nintex product expected to host an image, and seems to affect many (possibly all) file types. This issue has been acknowledged by Google on their Issue Tracker This conversation in GitHub demonstrates a workaround with a new URL format. However, this workaround ultimately requires the URL to be updated anywhere it’s been used. I’ve written a Knowledge Base article about it here regarding Nintex Automation Cloud.

You may start to see a notice when accessing your K2 for SharePoint integration in a SharePoint Online list or library. This notice states that SharePoint add-ins will be retired for SharePoint in Microsoft 365 in April 2026. Rest assured, our developers are hard at work and have already made strides in keeping your SharePoint Online integration working with your Nintex Automation (fka K2 Five) and K2 Cloud environments.Revised March 2026 with the latest product release informationFrom K2 (5.7) on, new installs that integrate with SharePoint Online will use the new SharePoint Framework (SPFx) integration path. This includes a new way to manage your SharePoint Online integration in the Management site, and has updated the integration points per Microsoft’s guidance. What about all our existing SharePoint integrations that use the add-in?From K2 (5.8) on, there is a migration tool, to help you move your existing add-in based integrations for forms and workflows to the new SPFx model. Several questions have come in recently from customers asking about plans to remove the dependency on Microsoft’s .NET Framework 3.5 version, which will reach end of life in 2029.We are aware of the upcoming deprecation, and keep a close eye on all of our technology dependencies to ensure we stay on current, supported versions to help our customers remain secure and stable.  We are working to address this dependency, and it’s not a simple upgrade for the K2 server and sites. Where we can, in some of the supporting micro services, we’ve already updated our code to depend on .Net Core versions. I don’t have a firm release date for completely removing our dependency on .NET Framework 3.5, but when past APIs have reached EOL (for example, the Microsoft AAD API to the new Microsoft Graph API), we addressed it in all supported versions with plenty of time for customers to upgrade. And we are committed to doing that for .NET Framework 3.5’s end of life in 2029. As we have more information, I

In this month’s user spotlight blog, we’re talking to Brandi Woodson, an IT Systems SharePoint Administrator at Kellogg Brown and Root. What is your current role, and your career background?I’m an IT Systems SharePoint Administrator who specializes in Business Process Automation. My career background is actually in pricing and contracts – but my IT career has just begun! I have always found myself learning more and more about how applications communicate with one another throughout my journey. I have had great mentors and trainers along my journey who were always willing to share and teach me functions that were not necessarily in my job description. Through the years I found myself always pushing my leadership to consider new ideas or processes that would make our team more sufficient and productive. I guess you can say I have always been the “innovator” in my former positions and always wanted to find a solution to any problem that presented itself!  Which Nintex Product are you most

Have you ever found yourself in a situation where you needed to reset a Nintex Forms Repeating Section? I'm sure you've tried to reset different columns from within your Nintex Workflows and It's actually easy to reset any type of fields like Yes/No, Single Line of Text, etc.. But what about the Repeating Sections? First of all, why would you need to do so?In my case, I had two lists; one for the orders and the other is for the order details. I've created a 1:Many relationship between both lists.  In my case, I wanted to use a Repeating Section only as a way for inputting data into another list (a Nintex Workflow on the parent list is being used here to parse the repeating section and create the child items in the second list.). I wanted this Repeating Section to always be empty and ready for data input. Unfortunately, this was not straightforward due to the fact that the Repeating Section data is always stored as XML either in a list column if the repeating section is connected or in

When you read release notes of any product or app update, you’ll usually see the generic category of “performance enhancements” - More speed. Like Ricky Bobby, “I wanna go fast,” right? But that phrase has gotten a bad reputation as just buzzwords. For a while now, you’ve heard from me about some tech debt projects that are updating some pretty core frameworks that are used in the Nintex K2 designers. And with those projects, I always promise that we’ll have increased stability and performance. But words are words, right? Seeing is believing. On the left, the updated framework. On the right, what you have today in Nintex K2 Five/Nintex Automation and Nintex K2 Cloud. On your mark, get set, go!Coming to a release next year. Get ready to go faster.
