Nintex Automation Cloud: Assign a Task action deprecation

Nintex is retiring the Assign a task action, which will no longer be available for new workflows as of 31st December 2022. Instead, use the Assign a task to multiple users task action to take advantage of many new capabilities around assigning tasks.    Details:Although the Assign a task action will not be available for use in new workflows, it will still be available in the following scenarios:Existing workflows that use the Assign a task action will continue to run. If you have an existing workflow using the Assign a task action, you will still be able to update the configuration and publish your workflows. Support cases for the fundamental functionality of Assign a task will still be addressed. Non-critical support cases can be more quickly resolved by moving to the Assign a task to multiple users action. We recommend replacing the Assign a task action in your existing workflows with the Assign a task to multiple users action to take advantage of the following benefits: New and impr

Adding a unique password to your NWC task form

Recently, I was approached with an interesting use case. The ask was to create a unique password, have that sent to a customer, and then provide that customer with a task form that would only enable them to access the data on the form if they have the proper password. For this use case, the data on the task form would be the URL to a Nintex Sign agreement that the customer would then be able to fill out. Luckily enough, we have a really simple solution.  First things first, we needed to create a unique password. This can be anything you want it to be. It can be a combination of the customer's first name, last name, or company name. We can also throw in some random letters and numbers as well. What I ended up doing, was combining the user's last name, and took apart the current time, and added the numbers before and after their last name. For example, if the time was 11:30, and I was the customer, it would look like: "11chu30". I used a combination of the Apply a regular expression acti

Extracting comments from LAZY APPROVAL email body and step by step implementation in NINTEX on-premise

Today I am going to illustrate practically how to capture LAZY approval comments from inside mail body in NINTEX on-premise. There could be different ways but the way I have implemented in recent project seems to be very easy and useful. Actually from any task component inside in the workflow if you enable LAZY approval recipient will get an email in his mail box.(Configuring lazy approval : Click here)User can then simple reply back to the mail putting his opinion (Like Approved, Reject, Rework etc) in the first line and additionally can put comments in the next line to move the workflow further. Its something looks like as follows:  Here Approved is the action word and the comment is ‘Everything looks good. Manual Delegation in Nintex Workflow Cloud

In this blog I am going to go through the recently released manual delegation feature for Nintex Workflow Cloud.  Please also refer to our how to guide Nintex-Workflow-Cloud-Task-Manual-Delegation-feature  Manual DelegationWith a recent update in Nintex Workflow Cloud, we now have the ability for a user that is assigned a task to delegate that task to another user/s.  This only works for authenticated forms and it uses the assign a task to multiple users action.   In the form settings make sure to have Nintex Mobile and My Nintex checked as the delegation will happen in My Nintex.  Then in the task settings, assign the task to the user/s that you would like to send the initial task and configure the task as you would normally.  Now let's verify that the delegation option is selected in the my Nintex settings for the workflow, by default it is selected.  If you do not wish to have delegation available in a particular workflow you will need to go to the my Nintex settings for that workfl

Okta User Profile Search

A customer recently reached out wondering how we could get the manager and manager email from Okta so that it could be used to assign tasks in a Nintex Automation Cloud workflow. Nintex Mobile 4.3 was released to platform stores a couple of days ago, and of about 5 minutes ago was live in the Android Play store and Windows store, so Apple store shouldn't to far behind.So what does the 4.3 release have for us ?Added support to keep a history of your sent forms and task through the new Sent area. You can easily customize the how long your sent items are retained via settings. Added support to quickly and easily re-send a form. Simply open the form from the new Sent area, tap the copy button, make any required changes then submit the form. Important notice regarding daylight saving time (DST)

If you are about to switch to daylight saving time (DST), we recommend that you perform these four simple actions to ensure that the Nintex Console initiates time-based triggers appropriately. If you have time-based triggers, follow these steps:Before switching to DST, disable time-based triggers. After switching to DST, restart the environment on which the robot is set to run. When the restart process is complete, check that the time is set correctly. Process variation final conversion is coming December 1st

The final conversion of legacy variations is approaching. On December 1st, 2022, we will start converting all remaining legacy variations to shared activity variations. Prior to this date, you will still be able to convert your variations manually. See our previous post about shared activity variations here.There are several great improvements with the new shared activity functionality, however there are a few changes that you need to be aware of. What happens when a variation is converted? The Standard process will become a 'normal' variation - this means that normal users will be able to view it like any other published process. The version will increase by 0.1. For example, a process with version 5.0 will be 5.1 after conversion. Any process in an 'Awaiting/Pending approval' state will return to the 'In Progress' state. Where possible, shared activities will be created if this condition is met: Activity title and tasks must be the same. If this condition is not met, they will be ind

Basic authentication for Gmail and Exchange in earlier versions of Nintex Bot

Hi, Everyone,As you know, we recently released our latest versions of RPA Central and Bot. The biggest update includes using OAuth when creating email connections to Gmail and Microsoft Exchange. As you may be aware, both Google and Microsoft have either turned off all Basic auth or are going to by the end of the year.Email connections that use Basic auth today will stop functioning soon. Google allows you to use an App password and I believe Microsoft does in some cases as well, but they both want everyone to use OAuth as it is more secure.This also means that older versions of Bot, basically any version before 17.10.x, will not be updated to allow OAuth for these email connections. If you need this level of functionality, you’ll have to upgrade to the latest version of Bot that requires RPA Central as well.
