Overview This article explains how to use string padding techniques in Nintex Workflow to format numbers to a fixed length in workflows. It is intended for workflow developers who need consistent numbering formats such as document references, IDs, ticket numbers, or invoice numbers. The approach helps avoid inconsistent values caused by varying number lengths. When to Use This • Generating fixed-length reference numbers • Creating document IDs • Formatting ticket or case numbers • Standardizing numeric output before storage or integration • Building sequential numbering solutions Problem / Limitation Workflows often generate numbers with different lengths. For example, values such as 1, 10, and 100 may need to be stored as 00001, 00010, and 00100. Nintex Workflow does not provide a dedicated pad-left function in all workflow scenarios. Root Cause Numbers are stored and processed using their natural length. Without additional string manipulation, leading zeros are not automatically adde

The Assign a Task action facilitates critical workflow functions, including sending approval requests, assigning tasks to users and capturing decisions (e.g., Approve vs. Reject). While simple to configure at first glance, it remains one of the most error-prone actions in process automation and migration projects.   1. Assignee Resolution & User Authentication Common Pitfalls  Hardcoded Assignees: Assigning static email addresses (e.g., user@domain.com) directly in the action configuration limits scalability and creates single points of failure during organizational changes.      Invalid or Missing Users: Assigning tasks to accounts that do not exist within the Nintex Workflow tenant or users lacking proper permissions, causes execution errors.   Impact  Tasks are never delivered to the intended recipient.   Workflow instances stall indefinitely or throw fatal execution errors.   Best Practices  Dynamic Assignment: Populate assignees dynamically using start form fields, workflo

Overview This article explains how to retrieve a document stored within an on-premises SharePoint subfolder when using Nintex Workflow and Nintex Gateway. It is intended for workflow developers, solution architects, and support engineers working with SharePoint Hybrid integrations. The guidance helps prevent workflow failures caused by incorrect file paths and document location references. When to Use This A document is stored inside a SharePoint subfolder. A workflow needs to retrieve a file for processing. Get File Content actions cannot locate the document. Working with document libraries containing multiple folder levels. Automating approvals, document generation, or file transfers. LimitationWorkflows may fail to retrieve a document even though it exists in SharePoint. Files in the root folder can be found, while documents located in subfolders return errors such as “File not found”, “The specified file does not exist”, or “Resource cannot be located.” Root CauseMany SharePoint ac

Is there a way to save a Custom theme in Form Styles? I am currently having to set each option on each workflow. I’m looking for a way to save the options for a Custom theme so it’s already in the dropdown list and I can just select it on each workflow instead of setting each value every time.

Simply said, I want to use a template to format my Nintex Workflow emails, so that all emails sent by Nintex will be easily and visually recognizable by the whole organisation. With base64 encoding I can include a logo and with the following code I can center my email message in a nice bordered section. However, whenever the email is a task email it will have a link at the bottom of my email which will be outside of my template and not centered. Which kind of ruins the whole idea.Is there any way to apply custom CSS or a template to the Task emails and preferably by all emails from the Nintex Workflow Cloud? Example HTML code to center emails (cross compatible with Outlook):<div style="margin-top:60px;text-align:center;"> <table width="600" style="border:2px solid #dddddd;text-align:left;width:600px;" class="table"> <tbody> <tr> <td style="padding:30px;"> <p> <img height=

Nintex University offers two primary roles for customers and partners: Learner and Manager. The Manager role provides additional permissions that allow designated users to manage learners, groups, learning assignments, and access to reporting and analytics. This article explains the permissions available to Nintex University managers and provides an overview of how managers can use these capabilities to support and manage their organization's learning experience.  Manager Permissions Managers can only access and manage information associated with the groups they oversee, based on their assigned permissions. To enable manager permissions, a Nintex University Admin must create a dedicated group, add the relevant learners and courses to that group, and assign the appropriate manager. Current Permissions Permission Access Content View only People View, edit, and assign learners Groups View only Analytics Basic access  Manager Experience 🔓 Access Managers have access to both

Foxtrot Legacy v12.2.4 emulator selection in PREFERENCES not saved in NON-PERSISTENT mode in Windows 11 operating system after a machine workstation re-boot or re-start. We checked C:\ProgramData\Foxtrot Suite\FTSessionControl.CFG file but found no settings to default emulator selection in PREFERENCES-DEFAULT USER display. We checked REGISTRY SETTINGS for HKEY_CURRENT_USER and HKEY_LOCAL_MACHINE but did not find any FOXTROT SUITE settings. We check C:\users\<username>\AppData\Local\ and C:\users\<username>\AppData\Roaming\ but did not find any FOXTROT SUITE settings. However, we do observe the emulator selection in PREFERENCES is retained as long as the user does not logoff or reboot or re-start the machine workstation. Does this mean the settings are set and stored in Foxtrot ADMINISTRATOR? If so, what do we need to do on Foxtrot ADMINISTRATOR to fix this issue?

TopicForms that execute K2 Connect SmartObjects start throwing the following error:Could not connect to the Remote Host APi on [K2ConnectServer:8085]. Check the K2 Connect Server in the Microsoft Service Management Environment.  Instructions This error can occur when K2 is unable to reach the K2 Connect service. The first thing to check when encountering this error, is to log on to the K2 Connect server, and check if the K2 Connect service is running. If the service is not running, restart it, ensure it stays running, and check whether your forms are working again. If the K2 Connect service is running, yet the same error message still shows up, check if there is any network issue blocking the connection between the K2 server and K2 Connect server. K2 Connect service runs on port 8085, so make sure nothing is blocking the connection to the K2 Connect server on port 8085.

IssueOn some devices managed by Intune, a device management (MDM) tool your IT team may use, running a DocGen package shows a browser pop-up asking for a client certificate. This has been seen on both Mac and iPad. The prompt may reference apps.drawloop.com or na2.docgen.nintex.io. The available certificates are rejected, and the browser shows ERR_BAD_SSL_CLIENT_AUTH_CERT. This has been seen in Safari, Chrome and Firefox. It does not occur on unmanaged devices. If you're not sure whether your device is managed, your IT team can confirm.CauseThis is a device configuration issue. The browser detects the certificates that Intune installs on the device and offers them for authentication, but those certificates are not meant for browser authentication.Workaround 1: Cancel the promptWhen the certificate prompt appears, click Cancel or press Esc. In many cases, the document will then download. If the prompt immediately reappears and the document still can't be generated, move on to Workaround

CHALLENGE:I would like to iterate through rows in a table, calling some embedded wizards for reach row As far as I can tell, the only way to “Edit” the loop is in Advanced Commands mode... ...but “Insert Embedded Wizard” is greyed out unless I exit back to “Normal mode” 🙁 Q: What do I need to do in RPA Studio to insert one or more embedded wizards into my table row loop?

This is bit of a sanity check. I’ve used the regular expression conditional check with single and multiline text columns often, but today tried to do as much for a choice column only to be greeted with the same dropdown values of the choice column proper:an image showing the Configure Action - Wait For Item dialog window that is set to wait for a column called “CC Status” that is being evaluated using a regular expression, with its value shown as a dropdown with options that are the same as the choices for the column / control in questionOne way I can get around this is, I think, to assign my regexp to a variable and instead of using Value, use Workflow Data. But that seems like a roundabout way to accomplish what I thought used to be a straight forward procedure. Is this the intended behavior for this scenario?Do you get the same behavior in your version of Nintex on Prem?If not, which version are you using?

Hi everyone! I have 2 custom controls which problems right now. Is it necessary to have .aspx format file for custom control? Do you guys know how to solve this issue? All the forms and views that are using these custom controls cannot be opened. This is custom control .dll files that are impacted:1) K2Field.ListSequenceDisplay.dll2) K2FormProgressSteps.dll

I want the form user to enter time-of-day on and off times, so I am not interested in the date component, just the time, including hours and minutes. There doesn’t seem to be a way to turn off date (just time) in the DateTime control and the alternative solution I started to develop looked like it was going to be very clunky (choice or number control for the hour, number for the minutes, parse that out with a formula, validate the hours and minutes are 0-12, 0-60...etc) Worst case, I’ll provide instructions to select today’s date and the time, then will parse it out after submittal. Is there a more elegant way to gather this info, though? Thanks in advance!

In my Nintex RPA embedded wizards, I’m programmatically opening and closing a couple of apps (MS Edge, and Outlook).I want to use an Advanced Command to open the URL (Edge) or run the app (Outlook).I also want to be able to add a keyboard shortcut to maximize the window (Alt-Shift, x)For example: PROBLEM: I can’t figure out how to do the “open” (Advanced Command) in the same step as the “Alt-Spacebar, x” (a core action). My workaround is to:  1) run the advanced command, then  2) record the new window, and finally  3) add my keyboard shortcut to the newly recorded Step 2.Q: Is there any “better” way to accomplish this?

Overview This article explains why Nintex’s standard Query a list action fails when SharePoint lists exceed 5,000 items and demonstrates how to use the SharePoint Online Call a SharePoint web service action in Nintex Workflow as a workaround. The Problem: Why “Query a List” Fails What is the 5,000 Item Limit? Microsoft SharePoint enforces a List View Threshold of 5,000 items. In SharePoint Online, Microsoft sets this as a fixed limit that cannot be changed. The limit protects performance by preventing queries from retrieving more than 5,000 rows at once. Without it, SQL Server—the database behind SharePoint—could lock the entire table and slow down the site for all users.  ⚠️ Important — SharePoint Online vs On-Premises  SharePoint On-Premises: An administrator can increase the threshold in Central Administration. SharePoint Online: In Microsoft 365, the 5,000-item limit is fixed and cannot be increased. This article focuses on SharePoint Online and Nintex Workflow.   How Does

Issue  In the classic form experience, it was possible to calculate values within a repeating section and save the resulting total directly to a SharePoint list column. After upgrading to the new form experience, users may notice that this functionality is no longer available by default. If you are looking to achieve the same outcome in the new experience, there are alternative approaches that can be used to calculate totals from repeating section data and store those values in SharePoint. This article outlines the available options and provides guidance on how to replicate the behavior that was previously supported in classic forms.  Scenario  A repeating section contained multiple line items.   A calculation was performed to generate a sum of values within the repeating section.   The calculated total was automatically saved to a SharePoint list column.   After upgrading, the direct capability to save the repeating section calculation to the SharePoint column was not functioning as i
