TopicWhy multiple Output Bubbles are shown on a Nintex Promapp Process Map. InstructionsMultiple output bubbles will show on the map if you have Decision links that go to an activity rather than a Process. The Process will follow the activity and then finish and so an Output bubble is show at each exit of the Process. There is just one set of outputs shown for each Process and the output bubbles provide the same information when hovered over. Additional InformationIf the Output has Show on Map ticked - This is automatically updated and is ticked if the output is linked to a Process that is included in the Process Map.
TopicHow to re-order process group folders/processes in Promapp. InstructionsTo re-order groups or processes -1. Go to Admin > Manage Groups 2. On the left side of any process group/process, hold and drag the icon up or down to move the process group/process in the desired order. Promapp also has two more options to sort/order processes within process groups :3. Sort by Name (A-Z) - Sort process within the process group tree alphabetically from A-Z Click next to a process group and then click Sort by Name (A-Z). Click Save all changes.Note: Roles and users assigned to a parent group will be inherited by subgroups.4. TopicNintex Promapp: When I assign a Viewing Permission to a parent Process Group, the child Process Group shows [Affected by parent] InstructionsIf a parent Process Group has a special Viewing Permission, a user can get to the child Process Group(s) only if they have the Viewing Permission assigned to the parent group.e.g. [Human Resources] is a parent Process Group. The Process Groups [Recruitment], [Leave Management], and [Payroll] are child groups under [Human Resources]. If the [HR Viewing Permission] is assigned to [Human Resources] group, child group access i.e. access to [Recruitment], [Leave Management], and [Payroll] will only be possible, when the user has the [HR Viewing Permission] viewing permission and has access to the [Human Resources] group.
TopicHow to publish a Nintex Promapp Process when your site is in Normal mode. Normal mode is a basic toggle of the process state. The state of the process can be changed between 'In Progress', 'Published', and 'Archived'. This toggle is available from within the summary section when editing a process. InstructionsGo to the Process you wish to Publish Select the Edit tab Change the State from In Progress to Published Select SaveAdditional InformationVersion numbers update after saving changes to a process. The major version is updated after each save when the process has a ‘Published’ state. i.e. 1.0 to 2.0. The minor version is updated when the process has an ‘In progress’ state i.e 1.0 to 1.1. InstructionsEnable the Setting Publish Only Mode in Admin > Configure > Process Editing Publish Only mode is a light version of the Process Approval Workflow. It allows users to view the latest Published version, while changes are being made to 'behind the scenes' and then published when ready. TopicHow do I bulk export documents in Nintex Promapp? InstructionsThere is no direct way to export all documents, however, you can generate a minimode link to get a list of all documents.1. Ensure you have the correct settings enabled under Admin > Configure:2. Enable sending document lists via minimode URL (Default: Off) - Switch it ON3. Navigate to the Documents Library4. Click the mail icon in the top-rightThis will open a new window that will include a link to all the documents on your site. Additional InformationThe link will only include documents that the user has permission to view. If you want this link to include all restricted documents you need to enable the option - Enable ALL DOCUMENTS to be viewed in minimode document lists (Default: Off)Example screenshot:
TopicAre Roles & Permissions synced from AD when using Single Sign On? InstructionsRoles and Permissions cannot be synced using Single Sign On. You can updae Roles & Permissions in bulk by using the Import User functionality:Export your users list by selecting the Excel icon from the Admin > Users section Update the CSV file to include the roles and permissions for each user Select Import Users option from the Cog Wheel menu Select Choose File and point it to the csv file Select ImportThis should update the existing users with the specified Roles & Permissions. Additional InformationThis can only be used to add additional roles, roles you wish to remove from users need to be removed manually, or use the role merge.

TopicIs it possible to restrict the access of a user with Business Analyst privilege? "There is no way to restrict edit access for a Business Analyst. A user with Business Analyst access will have access to edit all Processes visible to them within Promapp.""The only options are to remove the user from having Business Analyst Privileges in Admin > Users and add them as a group champion, or group editor of the groups they have access to. Alternatively you could restrict permissions to certain groups. This will however prevent a Business Analyst from also being able to see any Processes in this group." IssueWhen clicking on a minimode link, the printing icon does not appearError CodeResolutionThe reason the print icon is not appearing is because the process may have previously had process specific variations and now it doesn't. The print icon hadn't been available for process specific variations, and because the process used to have variations, the print icon is not available to use in the process. The work around for this is to copy the process to a new process (which will remove all variant logic from the process) and then recreate the minimode link from the updated process.
IssueCannot save an activity due date in the ChecklistsResolutionCheck the Checklist due date and change it to a later date > this will then allow you to set the activity due dates with a later date (as long as the date is within the Checklist date of completion). IssueExporting a .csv file and the file has no data (blank spreadsheet)ResolutionPlease ensure the default browser for accessing Promapp is either Firefox or Chrome. If so, please clear the browser cache and you should be able to successfully export the file again. Question Why aren't the incidents for particular portfolios are not showing in the Improvements Register? AnswerThe Improvements register has a default date set. It will only show the incident items in the register that meets the date filter. It has to be set to the correct date filters and only then the register will show all the incident items that fall under that date range. To resolve the issue - 1. Go to Improvements > Register 2. Set the 'Start Date' and 'End Date' to the correct date range. For ex. if an incident was reported on 9th September 2020 and to show the incident in the register, the date range can be from 1st September to 10th September or from 9th September to any other future End Date or from any Start Date before 9th September to any future End Date after 9th September. Else, the incident will not show in the register.
