I’m not sure why but the system (update items actions) will NOT allow me to update metadata on a folder. Any reasons why? No issues updating metadata in Power Automate. I cannot find another way to update metadata using Nintex Automation Cloud so may have to pivot to PA for this one. Let me know if I’m overlooking something here.

Community, I have the following scenario I’m attempting to building using nintex workflow and two sharepoint lists. I have two lists, list a and list b. What I’d like to create is two workflows one when an item is created in list a it is copied to list b which will be used to compare list a when something changes. Workflow 2. When an item in list a modified. The modified item is compared to it’s respective item in list b. The changes are then added to an email. Once the email is sent list b is then updated with the modifications from list a

Hi there, Has anyone created a flow that will allow a user to be added to the Automate user list a a participant. There are features that we want to be able to use in our form but the person needs to be a participant. Therefore we want to create a workflow that the user can add themselves. I cannot see a workflow part in the list to achieve this. Hope someone can help Cheers, Jamo

Hi, I'm getting a issue when starting the Nintex RPA Central Service. the error is 1064. Attached is a screenshot of the error. and even the error log of nintex. When I remove the database files from location: C:WindowsSystem32configsystemprofile and try to start service so it can recreate the database files. it wont work it will say that the RPACentralWeb database already exist. Can someone help me?Or help me with backup so I can re install, I cant lose my botflows that I created.

Got a call from a user that there were a bunch of issues with some workflows. Turns out that the access token used in one of the connections in the workflow had expired and needed to re-authenticate. OK --- Easy fix to re-authenticate and get the workflows to start working again. BUT Having workflows fail for this reason is NOT acceptable. I’m looking for a solution to be proactively notified BEFORE a workflow failure happens that a connection has an expired token. This way I can assume 100% uptime in my workflow by renewing the access token BEFORE there is a workflow failure. The connections screen in NWC only shows the date the connection was created. No where is the expiration date documented. So how is a Nintex admin to know when these things expire? Currently the only solution is to wait for a failure (and some angry customers) and then reactively address it by re-authenticating. This seems like a huge design flaw in this product that should be addressed by the dev team.

Is there a way, within a form (i.e., at runtime), to truncate a decimal number? It’s a currency amount, so I want only two decimal places. But I don’t want to round the number. In other words, the result needs to looks like this: 1056.2304 = 1056.23 1056.2384 = 1056.23 Rounding the number can occasionally create a difference of $0.01. A penny may not seem like much but in this case it's important. This calculation is for determining the gross amount of a distribution when you know the net amount you want to receive after tax withholding is done. Of course I’m sure there’s a RegEx to do this, but I need the truncation to happen on the form, not during the workflow.

I am using the action 'SharePoint Online - Create a folder' to create a folder by year and another by month. Since the workflow is called multiple times in the same month, it fails because the folder already exists. Is there a way to check if the folder exists before calling this action? Or is there a parameter to prevent it from failing if the folder already exists? Thanks! I have an integer field in a Nintex Form that is automatically adding 2 additional zeros at the end when the form is saved. It adds up to a total field. The total however is correct and doesn’t include the additional zeros. I looked at the field in the list and form and nothing stands out. I even tried deleting and readding that field on the form, but it doesn’t work. An example is attached, I entered 6,379,813 in CAPTIAL $ IN START YEAR field but when I save it the field shows 637,981,300. The total however shows 6,379,813. This is happening to all the data in that column. I have noticed this issue very recently. Any assistance would be greatly appreciated.

Cannot query by user unless we have the “ID” of the person within the sharepoint list. How do you do this dynamically (varies based on several factors so we only have email addresses at this point in the workflow). Please enlighten me on how this is achievable with query a list item for sharepoint online and conditions for data sources (same issue - only can filter by ID if data source is using sharepoint online connector)?

Hi All, We have a requirement where IT members should see 5 choices in the dropdown when they are logged in, while others should see 3 choices. (Screenshot attached for reference) I know this can be done by creating two separate dropdowns and hiding/unhiding them, but I was wondering if it's possible to do this with a single dropdown? Hello, I am migrating a workflow that uses the padleft function in on-prem environment and wondering how can this be done within the Automation cloud environment? Basically there is a number field in a SharePoint list that needs 0’s added. For example if the number is 1, then the result should be 001, if the number is 11 then then result should be 011 where the actual padding to the left is 3. Just not sure which action to use to make this happen. Thanks n advance

I have a Query List in a workflow that needs to fetch the Status (Choice Column with Available and Not Available) as a choice. I am trying to filter out those that are set to available?? I have tried this method: I have tried setting a variable and then changing the is equal to, to the new variable, but it fails to return any results: Is there a way to effectively accomplish this step? There is no detail that answers this question on the Help documentation for the action (here), which is a pity. When using the ‘Add item to a collection’ WF action you must specify an index value, where the index starts at zero. However, if you start with an empty index and after the first item (at ‘0’) add additional items at index values > 0 but that are non-sequential will the collection still hold the values? It seems not. And is this by design or bug?

I have a dropdown list that is populated by a smart object that retrieves a list from a table in a database. It works and displays all the information as it should, but I want to add one more item that reads OTHER at the end of the list (preferably). I am trying to not make a static list, instead displaying a mildly dynamic dropdown list. Does anyone know how to do that? Also, I’m avoiding adding anything to the table because other apps probably use that table, too.

The settings for date and time are causing us (our organisation), problems when we transition between UTC (Zulu) and Daylight Savings Time (DST). Workflows that are time dependent go from working normally, to being one hour out - transitioning either way around. Our NAC regional settings are set to this: (UTC/UTC+01:00) Europe/London Workflows are set to use the tenant default, is that correct, or should it be just plain UTC coordinated universal time? My understanding of (UTC/UTC+01:00) Europe/London is both UTC + 00:00 winter and UTC + 01:00 summer. I also regard that as meaning that the time with change in accordance with DST. What I need to understand is how to make the NAC and any workflows running in it, follow time changes throughout the year. Please can anyone provide some guidance?

I have a few workflows where, due to business processes, Nintex Automation Cloud workflow tasks are not set to require user authentication. This is primarily because the ‘Assignees’ are set to use a shared mailbox address. Any of up to 20 people can access the tasks in the target mailbox and approve them. I know this is not the preferred way to work with these task forms, but it is something we have had to agree to, so that task respondents do not have to visit the NAC ‘My Nintex’ portal, but instead receive an email with a direct link to the task. This all works OK, but it means that we cannot use any of the user context variable to get user name. email, etc. In the absence of any context user info, is there any other way that I can get the email address or username of the user who opens for task form to approve? I’m editing a task form in my workflow. I want a custom field called “Comments” to show if the user selects the “Reject” option for the outcome. Normally I would do this by adding my custom field to the form and then for the “Visible” property set it to something like Form.Outcome == “Rejected”. But I can’t get this to work. The Form.Outcome control is missing!! Why is the “Outcome” control missing from here and how can I make rules when I can’t see it??

I’m confused about how to render rich text into a PDF document created by the Generate document action in a workflow. Apparently some kind of feature was added in May 2024 (as stated here), but it seems that is only when you are getting your text from somewhere besides the workflow (?) and using Nintex DocGen (what is that?). All I want to do is take some rich text entered in a form during my workflow and have it render properly in a PDF document (generated from a Word template). I don’t want to write it to a SharePoint list first and then retrieve it, as seems to be one option, because my workflow deals with highly sensitive information and I don’t want it in SharePoint even with permission restrictions. I want to take it directly from the rich text entered on the form and write that text, with formatting intact, into my generated document. Is this still not possible?

Hi, I’m a system administrator in my organisation and are struggling to identify through Nintex University the e-learning module for one of my users who will become process group champion for their area. Is anyone able to provide direct links to these modules and sequence to complete as I find the search option hard to navigate in order to review what each course has to offer. Please note we’re not after certification is just to equip internal user with capability to do and lead others within their own team. thanks. U
