Restriction of Specific Improvements Portfolios

Hi there,

 

Is there the availability to restrict access to specific improvements portfolios? I know I can restrict overall improvements portfolio access but I don’t want to do this for every portfolio only select few.

An alternative for this would be is for people to be able to restrict access while they are reporting. I am aware that when assigning the incident owner, the portfolio manager can restrict access, but we are running a risk of people being able to view this report before it has been assigned to an incident owner.

Hi ​@bhawton - are you talking about specifically assigning Viewers to each portfolio?

If yes, you can go to Admin > Improvements > Other Configurations > Restrict improvement module access to named users which would allow you to specify which users have access to it. You can define that by specific users, specific roles or use the “ALL STAFF” role to keep it open to everyone. You can then define that for each portfolio.

Thank you that is great.

I was also wondering if there is a workaround for portfolios where some reports may be known to be confidential when reporting but others not. 

I know that when the Portfolio Manager assigns the Incident Owner after it has been reported they can restrict the incident here, but I would assume the report is then visible to anyone until the Portfolio Manager assigns it to an Owner.

Not sure if there is an easy fix to that.

Is it possible to transfer incident reports between portfolios? We could use this to fix the above problem if there is no simple solution.

I don’t believe there any setting to allow what you are suggesting (i.e. not having a report visible to some users at the point of triage). Unfortunately, you cannot transfer incidents from one portfolio to another due the portfolio defining the structure of the incident (i.e. which fields it has etc.)

A way this could be improved would be if there was a setting that can be defined at the portfolio settings, so that all incidents/improvements are generated with the “Restricted” field set to TRUE (this can be defined at the Overview section of each incident/improvement).
