Can someone tell me in general what a Folio is and what it's implications are for a workflow?  I'm guessing it's just a unique name, but I've been very wrong before 🙂

You are correct.  It is simply a label that is used to easily identify a process instance in things like the Worklist and reporting.  In and of itself it have very little implications on the actual workflow execution, however it can be very helpful to people that need to find a specific instance in a list of instances.

Just to add to what Bob said:


The value of the Folio field is totally under the control of the developer. K2 does not force uniqueness in any way.


The Process Instance ID which is generated by K2 is unique however.


 


You should add your unique ID to your folio because in Service Mgr (2003) it only allows you to search by Folio or Originator.   If the folio contains the same description for 10 workitems it's difficult to identify which one you are working on w/o additional unique info.
