Hi everyone,

Users in my organisation sign in to Promapp using SSO after they have been previously set up using their name and their work email address as their log on.

In relation to subject line, I would like to know If the authentication done behind the scenes is done via an integration from another system or manually, as in when requested by the user?

This query is from in internal business analyst wanting to determine the potential impact of a user email domain change would have on their SSO log on. 

My guess is that to maintain user access the simplest way would be to update the log on field with their new email address and the SSO should continue to work?

Yes - we check twice for existing users from SSO. First, we check existing email address. Then we check a combination of username, first, and last. If either of those match, a new user should not be created from my understanding.

If you want to update users to a new email domain, these are the steps to prepare existing users in the system.

  1. Get Promaster permissions or have a Promaster perform
  2. Export the list of users from the Process Manager tenant
  3. Update the email address column with the new email address for each user
  4. Import this list back into Process Manager
  5. Check the import has worked, confirm the number of updated users, ensure new ones have not been created if not desired and double check a sample of users to confirm the background processing has finished updating the email addresses
  6. Export the user list again
  7. Update the UserName / Log-on field with the updated log-on
  8. Import this list back into Process Manager
  9. Check the import has worked, confirm the number of updated users, ensure new ones have not been created if not desired and double check a sample of users to confirm the background processing has finished updating the email addresses

This should then complete the update to the usernames and email addresses for each user in Process Manager and allow them to connect to the SSO as well. This process should not take very long to execute when you are ready.
