To limit access to Workspace you may add "Deny" rights in "Security". In Management expand Categories -> System -> and click on “Workspace”. The default is for the Everyone role to have access to Workspace, as this is where users mostly interact with K2 through task notifications. If you want to block access for a user, you can set Execute to "Deny". When that user opens Workspace, they will get this error: "Form 'com.K2.System.Workspace.Form.Workspace' could not be found. Ensure that the Form exists, that it is checked in, and that you are authorized to run the Form."

I would highly suggest documenting the permissions if you decide to restrict Workspace permission via limiting access to the K2 system SmartObjects. Reason is, you might want to reset/put the permission back when it times for K2 upgrade, the Setup Manager will need access to update/access/execute the K2 system SmartObjects as part of the upgrade.
Please vote for the following idea to increase the likelihood of implementing this feature in a future update of K2.
