Need some help with a process. So we want to use the OOB configure approvals feature released by Microsoft to the GA back in June.

The issue we are experiencing is, we cannot leverage NAC workflows with the information stored in the fields created by Microsoft when enabling this feature. The ONLY information brought into NAC for lists that have this configured is the person ID property, no email or username property. That being said, if we wanted to notify someone or add additional automation to this OOB feature, we cannot. Does anyone know why the ID property is the only thing being returned for the fields in the red box shown below?

 

 

Challenges with OOB Feature: 

  • Emails do not go out to the approvers - only activity alert in TEAMS and goes to the “approvals” section of TEAMS.
  • History is lost if multiple submittals for approval on one list item - therefore if we need an audit trail of it one version was approved on 1/1/24 but a different version was approved/rejected on 3/1/24 we don't’ have it. 

We need a way to send email notifications to users and track all approval details.

Is the column setup to allow groups to be populated?  If  not you should see a variable for a collection of emails.  If groups are allowed the REST call to expand the email property fails which is why its not included on columns that allow group selection
