What is a Site Workflow?

A Site workflow is attached to the site rather than a list or library. Since it is attached to the site it will have access to all the lists and document libraries present in the site. You can run these workflows in either of the below ways

  • Manually
  • Triggered from other workflows within the site
  •  Scheduled to run on specific timeline

The creation and management of site workflows is the same as for workflows that are attached to a list or library. 

Actions specific to lists and libraries are not available for site workflows, you can have a look at the Nintex available actions in the Nintex workflow designer.

When to Use it ?

Site Workflows are generally used for

  • Site maintenance, such as deleting completed tasks and copying files to archives
  • Reports on list items and other items on the site
  • Validation of data in the site against external sources, such as price lists stored outside SharePoint
  • Reminders
  • Other workflows that operate independently of specific documents or list items

How to create it ?

  1. Go to the site, click Settings, select Site Contents, and then click Nintex Workflow for Office 365. The Workflows page opens.
  2. Click Create Site Workflow. The Designer page opens to design your workflow.

To view the site workflow history

Click the settings icon  on the upper right, select Nintex Workflow, and then select Workflow history under Nintex Workflow.

How to Schedule a Site workflow?

  1. From Site Contents, access the Nintex Workflow for Office 365 app.
  2. Click on the ellipses next to the desired workflow, and then click on Schedule.
  3. Click on Add Schedule and select the desired workflow run time.
  4. Configure when the workflow schedule should run, which time zone the scheduled workflow should be started in, how often it should reoccur.
  5. We can add multiple schedules to the same site workflow based on the business need.
  6. When finished configuring schedules, click Save.

In order to schedule Site Workflow below settings has to be enabled.

The Nintex Workflow app will need to be granted elevated (app permissions) privileges in the desired site you would like to use this functionality on. Refer to the following instructions for enabling app permissions:

  1. Go to Site Settings.
  2. In the Site Actions section, select Manage site features.
  3. Locate the feature called Workflows can use app permissions, and then click Activate.
