ERROR: Root element is missing. On Deployement

 Symptoms The user presented with a workflow deployment error that readDeployment FailedSystem.Xml.XmlException:Root Element is missing.The error occurred when the user attempted to deploy a workflow that was built in K2 designer but was NOT built out of the artifacts page Diagnoses The problem here was that the user had constructed a workflow from K2 Designer directly (i.e. not from the artifacts page) and was trying to use a Library as a data source. In order to use a Library or even a list in such a way the given data source needs to be appified and the workflow should be constructed out of the artifacts page. In this way we ensure that the workflow was access to the proper SmartObjects to access the given data source. Resolution To resolve this the user deleted their current workflow and rebuilt it from the artifacts page for the appified data source.

Failed to upgrade from 4.5.1420 to 4.6.8

 Symptoms  The client tried to upgrade his K2 environment from 4.5 with 1420 to 4.6.8. During the upgrade, the DBs failed and the client requested assistance to get his environment up and running again.  Diagnoses  After looking at his log files, it appears as if the "Workspace.TestTable" was missing from the K2Workspace DB. Some upgrades fail because the table is missing from the DB. When we get to the part where the table is supposed to get updated, it fails.  Resolution We removed the K2Server 4.6.8 components from the K2 Server machine. After that, we restored the 4.5 with 1420 DBs, installed K2 4.5 with 1420 pointing to the restored DBs and we were back to the point where we were before the upgrade. Accessing list item attachments from a Form.

 Suppose we have a list whose items have attachments. Suppose further that when a form that we've built off of this list loads that we would like it to present the user with links to the list item attachments. One way that we can go about doing this is by leveraging the the two SmartObjects that were created when we appified our list (one of these SmartObjects shares the List Name and the other is called 'List Name' Attachments.)   The first thing that we need to do is to create two new List Views; one built off of each of our two SmartObjects. For the List View that we create off of our 'List Name' SmartObject we only need to create the labels and controls such that it displays the columns we wish it to display. It will look something like this:    The fields we selelct correspond to the columns that will be displayed when our view renders. Unable to save settings in Workflow Server Configuration Settings

 Symptoms  Error: "Special characters are not allowed."Workflow Server Configuration Settings in Workspace doesn't accept the comma character for a cluster address.  Diagnoses  We are attempting to make changes to Workflow Server Configuration Settings (in Workspace) in our QA environment (and later in our Production), however we've run into an issue. We're unable to make any changes and save them. Any attempt to save is met with an error stating:"Special characters are not allowed"We've identified the cause as being our Server Name in the Database Settings tab. It is:SERVERNAME,14052The error is caused by us having a comma, which is required to specify a port.This error is preventing us from making any changes in this menu, on any tab. We're attempting to enable the Display Worklist of Managed Users on the Advanced Settings tab, but we cannot save due to this error.Is there a fix, a workaround or something else? Creating workflows from the K2 artifacts page vs. K2 Designer

 Symptoms When creating a workflow in K2 Designer I am unable to link the workflow to a specific list or library. Diagnosis The symptoms seen here are expected and is relatively easy to remedy. Solution When creating a workflow that you wish to bind to a specific list or library you should create the workflow through the artifacts page like so:      This will tie the new workflow to the list or library. K2 Connect for SAP errors when calling an RFC function

 Symptoms  K2 Connect for SAP errors when calling an RFC function  Diagnoses  In K2 Connect, a BAPI type object executes correctly in both the Test Cockpit and as a Smartobject. An RFC type executes correctly in the Test Cockpit, but throws the following error when executing as a Smartobject:"Requested Service not Found"  Resolution Toggle the "Beautify Names" option under K2 Service Object Designer > Wizard Options and the redeploy the RFC service object and test.

Cannot deploy workflow.

 Symptoms Receiving an error when attempting to deploy a workflow. The error states the following:The following client steps have outcomes, but there are no action statements associated with any of the outcomes: [[User Task event]] Diagnoses The error is referring to a User Task event that has multiple outcomes.The error was received after modifying the outcomes using the "Workflow Step Outcomes" option of the User Take event (hover-right-top option). Resolution The error is caused when an outcomes of a User Task event has no path leading to a subsequent step within the workflow. Adding a new outcome with the same name using the Outcomes Wizard (hover over user task and clicking top right icon) does not associate the outcome in question. To solve this issue, the User Task event wizard for the user task in question must be rerun (double click on user task). Going through the wizard and clicking finish will recreate an associated outcome that can then be tied into the appropriate next st

Server error when opening an existing deployed workflow

 Symptoms Customer is receiving an error when attempting to open an existing deployed workflow from a separate site. The error reads as follows:"Server Error: SmartObject property K2_Int_SiteUrl is a required property for selected method GetDesignerData. Value must be set." Diagnoses Workflow Settings table allows 500 chars and ProcessXML only allows 100 chars. Check what the max is that the workflow server allows and make both the same.Found an issue where the workflow name column is too short when the site collection name is very long.The length of the workflow name should match the length of fullname in the server.procset table. Resolution A coldfix was applied to the production instance to support longer workflow names.

How to send an email to a SP group using the Send Email event wizard

 Symptoms I would like to know how to send an email to a SP group using the Send Email event in the workflow designer. Diagnoses The context browser does not give the option to populate the "To:" field directly with a SP group, so I am looking for another option. Resolution The following are the step to reference a SharePoint group and send an email to the group:1) Drag a "Get Group Reference" event (from the Groups subsection of the Workflow Steps ribbon) into workflow2) In the wizard for the event, select the appropriate site collection where the SharePoint group resides3) In the Title text box, type the specific name of the group (This will have to be known by the user. Anonymous Forms Access issue

 Symptoms ISSUE:Anonymous Forms Access--setting the anonymous access option on a form and saving and checking it in doesn't necessarily work. Diagnoses Can be reproduced locally, by setting a Form with attachment control to allow anonymous access, clearing all cookies and uploading a file.The issue seems to be that the FileHandler does not allow anonymous access. Resolution Addressed in an isolated fix for Appit. The fix entails allowing anonymous access forms to upload files be configurable.After fix was applied, added andltadd key="Forms.Controls.File.AllowAnonymousAccess" value="true" /andgt to web.config file in designer and runtime folders.

Error after selecting a Site Collection when using the Create List Item wizard

 Symptoms After selecting a Site Collection from the drop-down, receive the following error when using the Create List Item wizard in a workflow:Error Message: SmartObject Server Exception: Inconsistency detected between SmartObject 'xxxxx' and Service Object 'yyyyy' during loading of SmartObject Definition. Service Object : 'yyyyy' not found in Service Instance 'andltsitenameandgt.sharepoint.com - sites - andltsite collectionandgt' Definition. Diagnoses When selecting a Site Collection for use in the Create List Item wizard, K2 performs a consistency check on all SmartObjects that live in that Site Collection. If an inconsistency is detected between any SmartObject and the associated Service Object an error will be thrown. Resolution This issue was initially caused when a manual refresh of the SharePoint 2013 Service Instance was done on the Appit instance from the K2 Management page, instead of the recommended method (running the Registration Wizard). Receiving error when trying to edit workflow

 Symptoms Receiving error when trying to edit a workflow:Error: Server Error - Exception of type 'SourceCode.SmartObjects.Client.SmartObjectException' was thrown Diagnoses This error can be caused when Views and Forms that are used in a workflow have been checked out for editing, and not checked back in. Resolution Checking in all associated Forms and Views resolved the issue.

 Symptoms  Can't add the another ServiceObject methods to the smartobject.  Diagnoses  No Diagnosis steps.  Resolution To add the ServiceObject methods to the custom smartobject in K2 for Visual Studio. For example, HR ServiceObject.-Open K2 Object Browser and navigate to Environment Tab.-Expand ServiceObject Server(s) > ServiceObject Server.-Select HR ServiceObject, expand it, and add the method.

Cannot deploy workflow

 Symptoms Cannot deploy workflow Diagnoses When trying to deploy a workflow I received this error:The "SourceCode.SharePoint15.DeploymentTask.Task" task failed unexpectedly.System.Exception: Service: SharePointIntegrationService Guid: 71810da1-81e2-4f22-8cf2-4011dacfdf42Severity: ErrorError Message: OAuth token requires authorization.To fix this I tried clearing the cache which didn't work and using incognito mode which didn't work. Other machines can log on to the same account and deploy workflows. Resolution Rerunning the registration wizard has resolved this error.

Owner of workflow left business/no longer with company

 Symptoms  Workflow creator/owner is no longer with business and workflow's created by that user are inaccessible via K2 Designer.  Diagnoses  The active directory account responsible for creating workflows has been deleted/deactivated and is no longer accessible. As the owner of the workflow, they are the only user able to access the original workflow design in K2 Designer.  Resolution In situations where the active directory account that created a workflow design is no longer active or no longer exists, several options exist for recovering workflow designs.1. Download .kprx file through the management console of K2 Workspace, this functionality can be found at Workflow Server -> Processes -> [Process Name] -> VersionsNote that a .kprx file can only be opened in K2 Studio or K2 for Visual Studio and will no longer be available in designer.2. No task emails are sent when adding a PDF as an attachment

 Symptoms  When converting a form to PDF and adding it as an attachment to an email, the email is not sent.  Diagnoses  The HostServer log shows the error "An error occurred in the PDFConverterService service instance. Failed to convert URL to PDF" indicating that the attachment was not added successfully, preventing the email from sending.  Resolution Ensure that "Automatic logon with current user name and password" in Internet Options > Trusted Sites > Custom Level > User Authentication is enabled, and then restart the K2 service.

SmartActions Response emails are blank

 Symptoms  When a user actions a task using email, the email response from the K2 server does not contain any information - it is a blank email.  Diagnoses  This can be caused by multiple entries in the K2HostServer.exe.config file.  Resolution - Open the K2HostServer.exe.config file and locate the following lines:<add path="SmartActionsSMTP" /><add path="SmartActionsEWS" />- Comment out the line containing SMTP, so that only the EWS line remains.- After doing so, restart the K2 service.

Unsupported Characters in Environment Library

 Symptoms  We have a problem with the adding of new fields. The problem appears when the value contains a sign like "&" or " ". After saving the value the characters behind the sign "&" are erased. If we have the sign " " in the value, the sign " " disappears after saving it.  Diagnoses  Some special characters can not be used, and they are bugged each with their own effect as the "&" Deletes all strings afterwards and the " " disappears.  Resolution This bug as been reported and is logged to a TFS Item, The " " has been confirmed to be fixed in 4.6.9 and the rest will be tested and fixed in the future.

 Symptoms  The following error appears consistently in Workspace and the Smartobject Service Tester:"Please create a master key in the database or open the master key in the session before performing this operation. Connect can't connect to K2 BlackPearl Server

 Symptoms K2 Connect can't connect to K2 BlackPearl Server.
