Hi everyone,

 

My organization is looking to have the K2 Admin be able to access all workflows that are currently running and closed for troubleshooting and other issues. They want them to be able to have a large list and then be able to click on a specific one and be able to open it up. Is there anyway this is possible? Any guidance would be greatly appreciated.

If K2 Workspace was installed, the K2 Admin can use the 'Workflow Server' tab, 'global' Worklist tab, and Processes tab to manage workflow instances, troubleshoot, and address issues (will likely need K2 Server Admin rights and Process Level Admin rights):

This will usually be for any Active workflows or workflows in error.


 


For All Workflows reporting data (Active, Error, Completed) , the Process Overview Reports can be used to view workflow information (will need Process Admin rights or View rights):

Hello Pob,

Please try the simple below procedure

1. Create a AD account like "for Example, K2ADMIN"

2. Assign this account in every stage of your workflow user task 

3. The Admin user could use the K2ADMIN account to login and view the worklist that are current.

 

Another option could be providing access to workspace --> Management Console --> Process Overview

Hello POB,

 I just answered a similar question in the post linked below. I provided screenshots as well. To limit access to the worklist once completed you can create a reference list for user roles. Basically a people picker and and a role. Add the administrator to the roles list. Then within the Worklist Item form you can create a rule on initialize to only load if the username matches the User Roles list and the role is equal to administrator. I have a generic re-usable view that says access is denied. I navigate to that view when the conditions do not match the rule. Please see the link below and let me know if you have any questions.
