Our HR group wants to have mulitple people work on a single task. We use roles as our destination users that have everyone in HR in it. We tried using slots to allow multiple HR folks to complete a task (in this case there are 5 tasks and each HR rep will check a box on a form when they are complete)


What is the best way to allow mulitple people to access the form using roles. We seem to have problems when choosing "Allow a slot for each destination" when using roles. The first person who opens it takes ownership and nobody can get into the form.


BTW - the access the form via email and clicking the 'click to open work item' link

How does person A know which tasks person B is/will be working on?   (If everyone can complete all 5 tasks)


I don't think it can be done concurrently.


You might need to separate it into 5 activities with each activity represent a task.


Anyone who wants to work on the specific task can only just that one item and finish with it.


In this case, there are three tasks. Each task has a check box. Each task can be completed by anybody in HR so they are not assigned to anyone specific. When HR opens the form and complete the task, they check off a box. If only one or two of the three tasks are completed, they save the form and the configured outcome (Save For Later) loops back to that same event to allow someone else to finish the final task(s). The tasks are saved as datafields in the workflow. When the next person opens the form, we check to see if any of the datafields have data in them, check the appropriate boxes on the form, and the person can either uncheck any of the checkboxes or check the remaining checkboxes to finish the event.


Once all three tasks are completed, the configured outcome (Tasks Completed)  moves the workflow along to the next event. So Person A sees what Person B has already completed. We dont expect them to be in it at the same time, but we want them to be able to access the event in case they split up the tasks for this event

When you selected "Create a slot for each destination" did you also select "Resolve all roles and groups to users"? If not, it will create one slot for each role selected (in your case, one role, therefore 1 slot and users still "taking over the task").


This should create one slot for each of your HR folks so each can open simultaneously. Each user must have a slot available in order to open the task. If there is only one slot, only one user can open it (it will only be "Available" for one user at a time).


Ensure your succeeding rule is "All slots of action result = Tasks Completed" so that all 3 tasks must be completed.
