Where is management worklist functionality in SharePoint 2013

Maybe I'm missing something, but where do I send the business users who are overseeing the processes in order to manage instances, redirect, retry, stop/delete... WITHOUT sending them to Workspace? Is there anything in the SharePoint 2013 app or in form controls? What replaces the SharePoint 2010 process portal?

That's a great question!   We're still in transition from K2 for SP2010 to K2 for SP2013 app model and hadn't considered this.  I found a forum post of someone asking a similar question and the only response they had was that it wasn't available in 2013.  I hope somebody who knows for certain can respond and confirm?

It is correct that the Process Portal is not available with SharePoint 2013 integration. That being said, you do have some alternatives. 


 


To see the current signed-in user in SharePoint's worklist, you can add the K2 Worklist webpart, using the instructions defined here:

To see a comprehensive view of the workflow instances happening from a site-level perspective, you can click on the "Reports" link inside the K2 for SharePoint app. Go to [your site]>Site Contents>K2 blackpearl for SharePoint, then click the link on the initial page for "Reports":

The second link provided will show you information about the workflows, but to actually do the delegating, redirecting, stopping and deleting, you will most likely need to go through the worklist webpart. 


 


Alternatively, you can use the Worklist Control in smartforms or the K2 for SharePoint app to stear clear of Workspace (they are basically the same thing with a few tweaks for the SharePoint implementation):

We have also faced this issue. The worklist control in SmartForms helps, but it doesn't provide the admin functionality (redirect, stop etc). I am reliably told that K2 will be addressing this shortcoming in a future release, but in the meantime we have gone down the road of building it ourselves in SmartForms.

 

To build our own "admin worklist" we installed the Workflow Management Service Broker from the K2 Market, and created a service instance that uses the service account for authentication. We then created a "Task Management" SmartObject which provides methods to redirect/release/delegate/retry/goto activity.

 

We then created a list view based on the "Activity Instance Destination" (Workflow Reports ->Workflow General)  SmartObject, and filtered it by Process Name (you can use Process Folder if you want multiple processes). Then we added toolbar buttons and rules to do the required functions (e.g. redirect button) callling the methods on the "Task Management" SmartObject.

 

You will need to ensure that the service account has admin permissions on the workflow/s for this to work. User's will still need admin permissions on the process to be able to see the all process  tasks  (when executing list on the "Activity Instance Destination" SmartObject.)
