I want to create a site workflow that will cycle through some libraries and lists to create a single list.

I want to create a site workflow that will cycle through some libraries and lists in the site or subsite to create a single list. with some common fields (filename, created and create date)  I have tried to , what is the best way to do this.  I have tried starting with a Query for a list that loads the information into variables, then creates item in new list and then cycles for each item in the results.  However it seems to just to write the first results values each item.  I am a little inexperienced with collection operation actions so I think I need to one or more.  I am using an action set to identify which  library is being cycled through.  Any help on doing this would be great.

So I don't mean to answer my own question, however I did resolve my issue after I trying a few things and I want to share how I did it.

My Workflow looks like this

My Steps are:

  1. Delete the contents of the list I want to populate ( I need a fresh List to Export)
  2. Created an Action for each Library I want to extract data from
  3. Query the List (Task List in Example)
    • Save each data element (Doc Title, Created, Create Date, ID) to a collection variable
  4. Use "For Each" Action
    • Target Collection set to ID Collection Variable
    • Store Result in ID Variable (List Item ID)
  5. Collection Operation Action for Doc Title
    • Set Target Collection to Doc Title Collection Variable
    • Set Option to Get
    • Set Index to Index Variable (Number)
    • Set Store Result in to Doc Title Variable (Single Line of Text)
  6. Collection Operation Action for Created
    • Set Target Collection to Created Collection Variable
    • Set Option to Get
    • Set Index to Index Variable (Number)
    • Set Store Result in to Created By Variable (Person or Group)
  7. Collection Operation Action for Created Date
    • Set Target Collection to Created Date Collection Variable
    • Set Option to Get
    • Set Index to Index Variable (Number)
    • Set Store Result in to Create Date Variable (Date/Time)
  8. Set Variable to a value for each occurrence
  9. Create Item in New List using the result variables previous set
    • Doc Title Variable (Single Line of Text)
    • Created By Variable (Person or Group)
    • Create Date Variable (Date/Time)
    • Variable (step 8)

 

This action set will set populate the new list from items in the Task List (as example) and can be repeated by copying the action and pasting below the previous action set.  The new action will need to have query action updated to the new list or library only as Common Field References were selected.

 

I hope this helps explain how I accomplished this item.
