Now, knowing about these actions, and actually knowing about these actions are 2 different things. So I’m going to explain each action and why you would use it.

 

Office 365 Delete Drafts

In the cloud world, storage is king. So the thought of having to hold on to countless thousands or minor versions of documents and items is a bitter pill to swallow for administrators. This action allows the workflow to delete minor versions (drafts) which you would do after a publish or approval of a major version.

 

Office 365 Delete Previous Version

Similar to the “Delete Drafts”, this action deletes the previous versions including majors. Or in the case or where approvals aren’t turned on for lists items, or once a document has been finalised and published and there is no reason to hold on to the previous versions.

 

Office 365 Set Document Set Approval Status

The aim of workflow, regardless of the product that provides it for you is to make your process more stream lined and make your life easier..  When working with document sets especially if you’re approving documents to be added or are part of a document set, once they have been approved, the next step is to ensure the status of the Document set is approved, otherwise it will be a draft / minor version. This action can help eliminate the manual step of having to set that status.

Exactly the same as the Document set action, just not on a document set..

 

Office 365 Add User to Group

One of the more popular workflow scenarios we see within our customers is the user on-boarding process. This action builds on the existing tool kit, allowing the workflow to place the newly created account into a SharePoint online user group.         

 

Office 365 Search Query

This little action is fairly versatile. Not an overly popular action, but when used it serves its purpose 100%. Get yourself into a situation where you are running a process on case. The case id is used in multiple content types across the farm and is indexed. As part of the submission you need to get across all items in regards to this case. This action can go and find all the results based on this case ID And email them directly to you, or post them to Yammer or add them to your submission as reference links ..
