Disorganized document routing and approval processes with multiple reviewers are problem for many enterprises. The business logic for gaining all the approvals is often confusing and undocumented. Manual work like this leads to wasted time, excessive spending, and ultimately decreased productivity.

 

The Nintex Workflow Cloud Route and Approve Documents - Advanced template helps you get a head start managing your document review and approval business process, starting with this multi-reviewer workflow that supports negotiations between multiple reviewers.

 

This template highlights how Nintex Workflow Cloud workflows connect to the Dropbox EFFS (Enterprise File Synchronization and Sharing) system and automates email based document approvals. The workflow responds to a new document being added to a "Draft" folder by sending an approval request email to a series of reviewers, and moves the document to an "Approved" or "Rework" folder based on the reviewers’ responses.

In the Advanced Routing and Approving Workflow, the design supports negotiation between two reviewers’:

  1. The workflow starts when a new document is added to Dropbox folder Draft.
  2. An email is sent to the originator stating that the workflow has started.
  3. An email request with a link to the document is sent for approval to Reviewer A.
    1. If Reviewer A replies Approve, the workflow shifts to Reviewer B.
    2. If Reviewer A replies Reject, the document is moved to the Rework folder and an email is sent to the originator that the document needs rework and the workflow ends.
  4. An email request with a link to the document is sent for approval to Reviewer B.
    1. If Reviewer B replies Approve, the document is moved to the Approved folder, an email is sent to the originator that the document has passed the all approvals, and the workflow ends.
    2. If the Reviewer B replies Reject, the workflow shifts back to Reviewer A.

Quickstart with the template

  1. Open and use Save As to make a copy of the workflow template {Template} Route and Approve Documents - Advanced.
  2. Select your Dropbox connection in the Start event
  3. Type in your email address for notification
  4. Select Publish from the toolbar to publish the workflow
  5. Test the workflow
